Zoho CRM Cancellation: Refunds, Renewals and Data Deletion
Zoho CRM is flexible about changing or cancelling service, but refund eligibility and account deletion are separate issues.
Zoho CRM can be cancelled without a long-term contract
Zoho's current CRM billing documentation says customers can upgrade, downgrade or cancel without long-term contracts.
That does not mean every cancellation automatically produces a refund. Refund eligibility is governed by Zoho's refund policy.
Refund windows to know
Zoho's current refund policy provides a full refund during the first month for monthly subscriptions when the customer qualifies under the policy.
For annual subscriptions, Zoho states a 45-day satisfaction period for a full refund under the policy.
Zoho also states that a customer can request a full refund within five business days after a monthly renewal or fifteen days after an annual renewal.
Automatic renewal
Zoho states that monthly and yearly subscriptions automatically renew until cancelled and that it sends an email before renewal specifying the amount to be charged.
User licenses can keep costing money
Zoho says pricing is based on purchased user licenses. Deleting a user does not by itself cancel the associated license.
Review purchased licenses rather than only the number of active users.
Account deletion is separate
A paid account must first be downgraded to the Free Edition or the subscription must be cancelled before permanent CRM account deletion.
Zoho says the delete-account link becomes available seven days after deactivation of the last active user or cancellation following a downgrade.
Export your CRM data before closing the account.
Exit checklist

Check the number of purchased user licenses.
Export CRM records and other required data.
Cancel or downgrade the subscription.
If you were recently charged, check the applicable refund window immediately.
Only close the account after confirming that you no longer need the data.
